Privacy Policy
Confer is an internal audio conferencing application built and operated by DSInnovators (the “Company”, “we”, “our”). This Privacy Policy explains what information Confer collects, how we use it, and the choices available to you. It applies to the Confer web application and the related backend services.
1. Who can use Confer
Confer is intended for use by employees and authorised members of DSInnovators. Sign-in is restricted to Google Workspace accounts on approved company domains. We do not market Confer to the general public and do not knowingly collect information from anyone outside the permitted user base.
2. Information we collect
When you sign in with Google, Confer receives the following from your Google account:
- Your name
- Your email address
- Your Google profile picture URL (if available)
- A stable Google account identifier
While you use Confer we also store:
- Meetings you create or are invited to, and their titles and schedules
- Your participation records (which meetings you joined and when)
- Administrative actions you take or that are taken on you (mute, kick, speaker grant/revoke, etc.)
- A short display name that you may optionally set
- Server-side technical logs (IP address, request timestamps, error traces) used to operate and secure the service
Live audio is transported via our self-hosted LiveKit media server. Audio is not recorded or persisted by Confer. We do not capture, store, or transcribe meeting audio.
3. How we use your information
- To authenticate you and verify that you are permitted to use the service
- To display your name and avatar to other participants in a meeting
- To create, list, and manage meetings, invitations, and join requests
- To enforce meeting controls (speaker limits, mute, kick, raise hand)
- To diagnose problems, prevent abuse, and keep the service running
We do not sell your personal information. We do not share it with advertising networks. We do not use your information to build profiles about you outside the operation of the service.
4. Google user data
Confer’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google account data only to provide and improve the user-facing features of Confer.
- We do not transfer Google user data to third parties except as necessary to provide or improve the service, comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to users.
- We do not use Google user data for serving advertisements.
- We do not allow humans to read Google user data unless we have your explicit consent for specific data, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for internal operations where the data has been aggregated and anonymised.
5. How we share information
We share information only as necessary to operate the service:
- Other meeting participants. Your name, avatar, and role are visible to other participants in meetings you join.
- Service providers. We rely on Google for authentication and on our self-hosted LiveKit infrastructure for real-time audio. These components process the minimum data required to deliver the service.
- Legal compliance. We may disclose information when required by law, regulation, legal process, or governmental request.
6. Data retention
Account, meeting, and participation records are retained for as long as your account is active and for a reasonable period afterwards for operational, audit, and dispute-resolution purposes. Server logs are retained for a limited period and then rotated or deleted. You may request deletion of your account and associated records by contacting us at the address below.
7. Security
Confer is served over HTTPS and uses signed session tokens. Access to production data is restricted to authorised personnel. No system is perfectly secure; if you believe your account has been compromised, contact us immediately.
8. Your choices and rights
You may sign out of Confer at any time. Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you. To exercise these rights, contact us at the address below. You may also revoke Confer’s access to your Google account through your Google Account permissions page.
9. Children
Confer is not directed to children. We do not knowingly collect personal information from anyone under the age of 16.
10. International users
Confer’s servers may be located in regions different from where you reside. By using the service you consent to the processing of your information in those regions, subject to appropriate safeguards.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of the page reflects the current version. Material changes will be communicated through the service or by email where appropriate.
